Len (membership): Jessica & Robbie need contracts signed. Looking for a #103 roommate. I hope to collect every income disclosure form.

Agenda Item 1

(Bernard) Member Review for Jared for having 16 plus hours of no show labor. I Bernard as the Labor Czar have sent messages to him but he has not responded to me at all. This will be his chance to help fix this issue so he doesn't receive labor fines.

<Jared is not present and did not leave a statement.>

Clarifying question: Were they alerted?

Point of info: It was emailed out, posted on the commons door, and posted on their doors.

Bernard (labor czar): We've tried to reach out to him so many times without result. We do need a behavior contract or something to get him back on track.

Joshua: Do you have those communications? I don't trust your word.

POI: <Several people corroborate that this has been a continuous process of attempted communication with no success.>

Richard: This sounds like he's just not attempting to work with the labor czar at all.

Cayla (roommate): Last time he said he reached out was in April? May? He said he tried to do labor a week or so ago.

Paul: That's long past the time it takes to have an automatic labor member review.

Proposal: No more than five gross no-shows of regularly-assigned labor per month for 3 months.

Bernard: I thought these contracts were for duration of lease.

POI: They can be however long we decide.

Behavior contract approved.

CQ: What labor does he have?

POI: Laundry room cleaning & Tuesday or Wednesday DCU (dinner cleanup).

Agenda Item 2

(Bernard) Member review for tracy for over 16 hours of no show labor. I have been very patient with this matter at hand and now I must move forward. This is not the 1st time we have had to discuss an issue with Tracy not doing labor or dragging his feet to anything labor related.

Tracy: I previously signed a labor behavior contract and completed the labor contract successfully, but we don't have a record of it.

Kate: <reads previous labor behavior contract from March>

Cory: This is moot because we're not discussing a labor contract violation, we're discussing a new labor member review.

Tracy: I sent emails to maintenance. I've been doing my labor with groundskeeping, diligently, as people can testify.

Cayla: Did you sign off on any of this?

Tracy: No I did not.

Bernard: He was assigned to do maintenance forms. From what I know those forms were never done. He doesn't sign for labor. He doesn't email me about labor. He sent me an email last year asking me for permission to throw a party (he was events coordinator) and I told him he doesn't need my permission.

Joshua: Who can confirm that you did water the plants?

Tracy: McAllen can.

McAllen: I can't recall a conversation about that, but sometimes I'm absent-minded.

Cory: Our previous maintenance coordinator specifically tasked him with the forms and Trello entry, making that his sole job. It never happened. There's an item up that hasn't been put in for weeks, a month or so.

Tracy: That's why I reached out.

Kate (current maintenance coordinator): I saw your emails about the forms. I haven't seen any evidence that you checked for them. And the stuff you asked about in the email had been addressed to you verbally multiple times. How long have you not had a commons key?

Tracy: Spring?

Kate: I wish you had put that in the email.

Russ: Friendly reminder that when people get no-showed, there is an opportunity there to make-up that labor. It's possible to avoid big labor fines from adding up.

Cory: You can't just not do labor you're not assigned and go do grounds labor instead.

Tracy: I think there's been a failure of communication on both sides.

Kate: Did you ever do the action meeting up with another maintenance person talked about in this email?

Tracy: That never happened. I'm not even disputing June/July.

Bernard: I put up the paper saying you need to contact me: email, text, or post it on my door. I keep everything. That notice went out.

Tracy: You never contacted me.

Philip: He's watered two or three times, ain't seen him since then.

Tracy: I'm on a night-owl schedule.

Cory: Again, you can't just go off and do other labor.

Cayla: Friendly reminder that you can always go to other officers or the house if you can't reach another officer.

Dwayne: Bernard, I appreciate you checking up on me the other day.

Joshua: I spoke to Tracy earlier. He said he had paper documentation of this stuff, and nothing.

Paul: I see a persistent pattern of stonewalling about labor over email, inventing reasons for not doing labor.

Graham: He has not done labor pretty much the whole time I've been living here. I just don't see it.

Kate: A behavior contract would need to stipulate that he needs to sign off on his labor.

McAllen: I agree.

Len: It's important to co-op living that we both labor and document our labor.

Proposal:

1. No more than five gross no-shows of regularly-assigned labor per month for 2 months (his lease expires in 2 months).

2. This would include a note that if he renews his lease there will be an additional 4 month contract with the same contents.

3. Must sign off on labor for it to count.

4. Must get labor covered if he's absent.

Kate: I told him every time he checks it it's half-an-hour of labor, which makes up his whole labor. It really needs to be done consistently, every day.

CQ: What about when he travels for work? Sometimes he's gone 3-4 days.

POI: He'll need to get someone to cover for him. Kate suggests herself, because it's important for maintenance.

Behavior contract approved.

Agenda Item 3

(Tracy Fuller) I am seeking approval for a new payment plan and an extension of my lease to accommodate the unique circumstances I am facing. As some of you may know, I have recently been accepted into a State rehabilitation job vocational training program due to my disability. This program offers a weekly stipend and SNAP benefits, which will cover my financial needs during the training period.

My first appointment with the program is scheduled for August 10th, and stipends could begin as early as 6 weeks from that date while they set me up for school. In light of this, I kindly request an adjustment to my payment plan to align with the expected stipend commencement date and the lease extension until the training program is completed.

I believe this temporary arrangement will allow me to continue being a contributing member of the co-op and will ensure my financial stability during the training period. I appreciate your consideration and understanding on this matter.

Tracy: I communicated with Russ when we set up a payment plan. Spectrum will finally be changing my status. Once I got into the system I can get approved for financial assistance. I submitted a payment today. I'm limited in what I can do. I'm still in litigation about the motorcycle accident. They're getting me back on track. I'll have a weekly stipend, they'll be helping me with schooling. Maybe my CDL.

Russ (bookkeeper): There's a notice to vacate right now. If he makes good on the past due amount for June/July then he can be good on the current payment plan. If he signed a new contract we can sign a new payment plan.

Cory: Payment plans are a little different. Most payment plans should have a clause where if you miss a scheduled payment the entire payment plan amount immediately becomes due.

Russ: The way our rules are written if he gets current with a payment plan signed before the notice to vacate, we rescind the notice to vacate.

Tracy: I'm hoping to get a new lease and a new payment plan. I need a little more time to catch up.

Len (membership coordinator): I can sign a new contract with you for longer than we need the payment plan.

Cory: We can approve Russ negotiating a new payment plan, which nullifies the old payment plan, and effectively recalls the notice to vacate.

Proposal: Authorize the bookkeeper to negotiate a new, lower payment plan with Tracy, possibly signing a new contract. Rescind the notice to vacate.

Approved almost unanimously.

Agenda Item 4

(Dwain Fuller) It’s been several months since I requested the transfer of my wife’s deposit who passed away. What’s going on?

New business

There is a mystery $2200 transaction that appeared and was withdrawn.

Paul: Progress on my shower. A plumber came out and we're waiting on a quote. He also said I can shower if I put a towel around the leaky intake pipes there, so I'm going to do that.

McAllen: Thanks to maintenance [Kate & Stormie] for getting our AC fixed! Huge quality of life improvement.

Joshua: I'm pressure-washing the breezeway again tonight. Watch out for slippery wet stairs nearby.

The effort to get good info into the meeting and minutes is appreciated.
