(Stormie) Officer reports

Kate (co-maintenance): Pest guy came by, glue-trapped the common fridge near the kitchen Rat Zone. Plumbers came by and snaked & hydro-jetted 205 and 207. 111 bathroom faucet replaced twice.

Chinhae (co-maintenance): The capacitor in the 103 AC is probably screwed.

Logan (reporting for events): Nynka’s planning Aug-Sept-Oct birthday party this month, maybe a Halloween event. <Lyssa offers to help Halloween costumes.>

Bernard (labor): We have some major issues. We might have to move folks around into DCU and other things. If we can’t cover DCU we might have to cut meals out. I’ve got three DCU workers and one is on work exemption due to hospital issues.

Logan: Maybe I can let the cooks know and we can do DCU as necessary for our own dinner.

Bernard: I’ll also be working with Leah to make the labor charts more accessible.

Leah: Yeah, downloading it in Excel form instead of pdf should help a lot.

Bernard: Fridge and pantry clean is also not getting done. Haven’t seen Ryan and Hannah in a while.

Joshua: I can replace my breezeway clean with DCU. The breezeway only needs doing every few weeks.

Stormie (steward): There’s one notice to vacate posted that expires on the 15th. I’ve heard from other people that they want an extension but haven’t come to a meeting. We’ve got a special election for treasurer, since Graham stepped down. Steward is a lot of little fires, but I plan to finish my term.

Len (membership coordinator): I’d like to run for treasurer and step down from membership coordinator, because I hate it. If I’m unopposed I’ll just do that. I’ve got one more income disclosure form and two contracts need updating. 204 and 211 are ready to rent out but we don’t have people who fit in those spaces yet.

Point of information from multiple people: We appreciate the work you’ve done, Graham, Stormie, Len!

Alyssa (food buyer): I wish more of the cooks were here. I know they’ve left messages about the new system working out well, and I feel good about it too. I need measurements for some other requests, like the rice paddles. It’s a lot cheaper going through the staples and other things once in a while. I feel more essential now.

Paul: We need more bowls in the commons.

Cory: They’ll just disappear. We could have a dish dog who goes door-to-door and gets co-op dishes from units.

Alyssa: I’ll try to buy bowls and paper stuff to take load off DCU.

Leah (board): We’re trying to split accounts so people can have free virtual-account credit cards that we can set spending limits on. That should work well for officer spending. Thanks to volunteers for the co-op fair. We’re close to having Docu-sign integrated.

Russ (bookkeeper): Most people are paying their payment plans. One hasn’t paid and they’re going to ask the house for a new payment plan. Do we want to delete the accounts of the people who are leaving?

Cory: If their balance is zero, it’s fine to delete accounts. Paying out account deposits is normally a treasurer thing.

Philip (grounds): Grounds people are doing their jobs. We’re all caught up, things are fine. I appreciate the work McAllen and Lorenzo have been putting in.


Cory (CHEA finance officer): I spent 10 hours at Sasona catching up their accounts receivable and other financial bits. Also, big topic: for a variety of reasons the houses don’t always pay CHEA rent in a timely manner, which means NASCO Properties (NP) doesn’t get paid rent in time, and they can’t always pay their costs. Those costs might come back down to us in future budget cycles. One option is for the houses to pay NP directly, another is for CHEA to receive the rent directly and distribute the house budgets to the houses. We can’t keep not paying NP on time, in terms of serious ramifications on our financials and our working relationship with NASCO.

Kate: If we paid CHEA directly we’d be able to pay invoices directly through Quickbooks instead of having to use apartments dot com.

Cory: QB takes up 1-2% of payments, possibly more, so we probably don’t want that. Online payment processors will generally only connect to one bank. Also, the payments will vary according to maintenance and vacancy reimbursements, so paying NP directly might be a pain.

Stormie: Any downsides to CHEA controlling money?

Cory: CHEA controlling the money could maybe cause a minor cash crunch because maintenance will get done and not reimbursed until a month or so later.

Cory: I’ll be having plenty more discussions about this topic. I’ll also be making weekly reports to Sasona, and I’ll send those to La Reunion as well.

Russ: We could require the treasurer to pay reimbursements by a certain date.

Cory: I think people would get upset if the money gets pulled directly.

Graham (outgoing treasurer): I let things go too long and didn’t manage to catch up on them in time. Sorry.

New business

Stormie: I’ll be sending out a request for any accommodations we need for individuals. Please respond if you need anything. Totally optional.

Joshua: There’s a safety concern I want to talk about tomorrow at noon. Details to come. Not a fire, just community-informing.
